How to find all of a researcher’s publications in PubMed

Typing a name into PubMed returns every paper by everyone with that name — and misses papers published under a variant. Getting one researcher’s complete, correct list takes a few search tags and some checking. Here is the method.

1. Start with surname and initials

Enter the surname followed by initials, without punctuation, and tag it as an author:

smith ja[au]

Two PubMed behaviours matter here:

  • Names are truncated automatically. smith j[au] also finds Smith JA, Smith JB, Smith J Jr and so on. To search for exactly one form, put it in quotes: "smith j"[au].
  • A middle initial narrows the search. smith ja[au] only finds papers published with that middle initial. If the researcher sometimes published without it, search for the first initial as well and check the extra results.

2. Use the full name for recent papers

PubMed has recorded authors’ full names since 2002. The [fau] tag searches them, which cuts out most of the noise from common initials:

Full-name searches don’t reach papers from before 2002, so combine them with an initials search if the career started earlier.

3. Add the ORCID iD

If the researcher has an ORCID iD, search the author identifier field. This finds papers where the journal sent the iD to PubMed — common for recent papers, but far from universal, so treat it as a check rather than the whole search.

4. Narrow by affiliation and date

For a common name, combine the author search with the institutions the researcher has worked at, using the affiliation tag [ad], and optionally a publication-date range with [dp]:

smith ja[au] AND (stanford[ad] OR "university of michigan"[ad]) AND 2015:2025[dp]

Be careful: affiliation searches drop real papers as easily as they remove wrong ones. Older records often list only the first author’s affiliation, and people move. Use affiliation to narrow a long list you then check, not as a filter you trust blindly.

5. Check the results by hand

For every paper you are unsure of, look at:

  • Co-authors — the most reliable signal; researchers publish with the same people again and again.
  • Topic and journal — a cardiologist and a plant biologist with the same name rarely overlap.
  • Affiliation at the time — against the researcher’s CV, not only their current institution.

And watch for the papers a name search misses: a changed surname, a hyphenated or compound surname indexed in more than one way, and transliterated names spelled differently across journals. Search each variant.

6. Save the search and set an alert

Once the search is right, keep it. Signed in to My NCBI, choose Create alert under the search bar and PubMed emails you new matching papers. You still have to check each one, and it only catches papers the search itself would find. To collect the confirmed papers, save them to a My NCBI collection or send them to My Bibliography — which is also what SciENcv reads (see how to add your publications to SciENcv).

Doing this for a whole group

For a lab or department, repeat the search for every member, then remove duplicates: a paper co-authored by three members turns up in three searches but counts once. Our guide to compiling a department publication report covers the rest of that job.
